The word in business is profit. The word is simple to understand. Companies are considered a success, if they generate profits. For small business, however, profits do not necessarily equate to healthy cash flow or even success.

The accounting definition of profit is sales(including credit sales), less expenses. The oversight of the important aspects of "profitability", leads to numerous problems for business owners.The problem with accounting is that assets purchased cash, will reside on the balance sheet, and inflate the profits, artificially,by the very same amount, that the asset was purchased for.

Invoiced credit sales are recorded in sales journals, and a corresponding debit(debtor), is raised for those credit sales. Value Added Tax or general sales tax is charged on that invoice as it is processed.

One major shortcoming in small business, is the lack of credit control. Many business owners lack the skills to collect outstanding debts. Where VAT or GST has been charged, it become payable, regardless of whether the debtors invoice was paid or not. Businesses also pay tax on profits.

Business owners(on the advice of their accountants) are profit driven, and not cashflow driven. This leads to certain interpretations of their finances. Business owners consider the available amount on their overdraft or business credit card facility as CASH AVAILABLE! Its not available cash, but debt!

Solvency or liquidity should be measured by the amount available cash(bank and cash on hand), exceeding liabilities. All other assets should be be excluded. The reason is that assets ,could be sold far below their market value, if the business had to be liquidated. Cash is the only asset that can be used, without incurring a cost or loss, on conversion.

What about the cash flow statement? The cash flow statement is not compulsory for small businesses, but is viewed is an important tool, for analyzing the business's cash flow. Many tax authorities accept only the income and expenses account. But even the cash flow statement has its flaws. Loans advanced will reflect as "cash from financing activities", thus creating the illusion that the "healthy Bank Balance", means the business is healthy. In an environment of high interest rates, the loan can be risky, and that aspect has to be factored into the reporting. A note on the financial statements, is not sufficient.

Many accountants might not agree, with the above. But its my firm belief that thorough cash management is lacking in most small businesses. Accounting financial statements should only be used for tax or statutory purposes.

A cash flow driven business would operate as follows:

* Collect outstanding debtors as soon as possible(The most difficult and problematic, I agree)

* Take substantial cash deposits from customers, before commencing a project

* Bank cash promptly, since cash gets lost or spent very quickly

* Stall creditors, as long as possible

* Start investing 5 to 10% of cash received in a particular month, in different bank savings accounts

* These banking accounts also known as reserves, can be called:

a) A Building Fund(For future expansion)
b) A Tax fund and lastly an Emergency fund (Any emergencies that may occur).The reserves can also be augmented by additional sales, the value of credit card payments, that have been paid up. (Would not hurt, since you used to those monthly credit card payments)

* Before spending cash on any expense, apart from salaries, funds should be set aside for the "reserve accounts"

* The benefits of the reserve accounts are two fold, 1) It creates a buffer, between income and expenses(will exert pressure on overheads/spend less), and 2) The business will gradually build capital in reserves, that the business would have had to source somewhere else, if the need arose.The reserves would grow rapidly, if it remain untouched, for say ,twelve months. This exercise requires discipline, for it to work.

Focus on the cash balance and savings, will ensure a rapid (almost magical) growth of cash! The business will also become less reliant on loans, credit and capital from outsiders.

But real uncertainties occur when factors outside the technical aspects causing the markets to behave erratically. This comes from news, economic or corporate that are extraordinary, that influences the markets where technical aspects are greatly affected. News such as 9/11, subprime cash crunch, or corporate fraud at high profile companies. Economic and corporate news are drivers of market action, bombarding constantly causing emotional and psychological stress in traders and investors. This stress, in effect, causes them to act unpredictably.

The most uncertain periods in the markets happen when the cycles are in the midst of changing, namely, expansion to contraction and contraction to expansion. In the bull market, investors become more and more euphoric with incredible gains until their emotions blind their judgment. Once the market acts up with outside factors such as fundamental news, the market begins to sway easily from one side to the other. This is the period where the losses begin to accumulate. The investor first starts to believe the bull market cycle is over, he gets out. Then, in a few short days, the market recovers on good news; he immediately gets. A few days later, a conflicting bad news comes out, the investor changes his mind and sells short or get out. This period can go for months on end, going up and down in a range. The best way to do this is visit a forum. Find a hot topic we feel qualified to comment in. Make our comment and go on to the next forum. You can also just ask a thought provoking question. Most forums allow a signature file. This signature is shown after each of your contributions. The signature usually has a URL in it. This URL should point to a lead capture page. Here you can get the name and email address of your prospect. The reason they would sign up is because have already begun to get their trust. I did mention that there were things you should definitely never do. People hate spam and spammers. This is not just in sending email. Now back to the subject at hand. I mentioned that the link in your signature should point to your lead capture page. This squeeze page should offer more information in the form of a newsletter or ezine.

Provide people with a catalog of your products and interesting and entertaining articles. If you make it really interesting and entertaining, more people will sign up for your newsletter and recommend it to other people. The more people who signs up for your newsletter, the more people there will be that will go to your site increasing your traffic.

Write articles that could pique the attention of people that have interest in your product. Try writing articles that will provide tips and guides that relate to products on your site. Writing articles that provide good service and knowledge to other people would provide the necessary mileage your traffic flow needs.

Write good content for your site. Many search engines track down the keywords and keyword phrases your site uses and how they are used. It is not a requirement that content should be done by a professional content writer. You could do your on but you have to make content for your site that is entertaining as well as informative. It should provide certain requirements as well as great quality.

Try to compose at least 250 words of useful and descriptive text for your web page and include the keywords and key phrases you found in step 1 up to three times each.

3) Pull Text from Your Images

One common mistake that web designers make is burying too much useful and informative text within images. The fonts look nice but the content is hidden from search engines. To further optimize your web page, convert the wording in those images to HTML text wherever possible and add an ALT attribute to each photo or illustration that describes what the image or the content of your page is about. Hint: The image ALT attribute is another good location for the keywords and phrases you researched in step 1.

4) Tag You're It

While you're adding the ALT attribute to the images within your HTML code (and I know you are), take a look at the TITLE and META NAME tags nested between the opening and closing HEAD tags at the beginning of your HTML document. Place the keywords and key phrases you found in step 1 between the TITLE tags. Adding your keywords and key phrases to your TITLE tag is one of the most important and effective things you can do to optimize your web page so make sure you do it!

Other helpful, but less important tags to consider are the META NAME tags. The first META NAME tag, "keywords" should contain the keywords and key phrases you researched in step 1, along with synonyms and other topic related words and phrases you included within the text content of your document. Each word or phrase within the keyword META NAME tag should be separated with a comma. The "description" META Name tag should include a one or two sentence summary of the topic of your web page. And finally, the "robots" META Name tag should contain the text, "index/follow" which tells visiting search engine robots that it's okay to index your page and follow its links.

5) Use Your Headers

So far, we've mentioned a couple different HTML tags that search engines use to gather information about the content of your web pages. One important, but sometimes overlooked type of HTML tag is the header tag (H1, H2, H3, etc.). HTML header tags can be used in the body of your HTML document and are intended to provide a hierarchical structure to the content of your page. Think of your web page as a newspaper and your header tags as headlines. In this example, the H1 tag is your newspaper's front page headline and your H2 and H3 tags are article headlines from the national news and business sections.

Text contained within H1 tags are assigned the greatest importance by search engines when indexing your web page so do your best to include your researched key phrases and keywords there. Text inside H2 tags are given slightly less importance and so on and so forth. The better you organize your web page, the better search engines can zero in on your main topic, so use your header tags wisely.

Search engine robots are smart, but not as smart as people. They need guidance and direction to do their job effectively. In the absence of human guidance, robots are programmed to look for clues within your text content and HTML code to help them determine what your web pages are about. That's where search engine optimization comes into play.
